⚠ If you're currently using ChatGPT, Gemini, Copliot or any other AI to write your reports, you're probably breaching GDPR. Here's why — and what to do instead.
Most OTs writing reports today are doing one of three things. Spending two to three hours per report writing from scratch. Using a template that produces something generic and then spending an hour making it sound human. Or typing patient details into ChatGPT and hoping nobody notices.
None of these are good enough. Scriibe is built to replace all three.
What Scriibe does
The problem
2–3 hours per report
An experienced OT can assess a child in ninety minutes. Then comes the report — structuring observations into the right EHCP sections, writing in plain English that works for parents, schools, and local authority reviewers simultaneously, in a tone that feels personal rather than generated. It's the most time-consuming part of the job, and it happens after every single assessment.
What changes
Under 20 minutes
You enter your assessment notes — what you observed, what the family told you, what you're recommending. Scriibe writes a full first draft in your tone: your phrasing, your warmth, the way you open a finding or close a recommendation. You read it through, make any adjustments, and export to Word. That's it.
Sounds like you, not like AI
Trained on your writing
During setup you paste a handful of your previous reports. Scriibe analyses your style — the way you sequence information, how you talk about a child's strengths, your level of clinical formality — and applies it to everything it writes for you. Two OTs using Scriibe produce two completely different-sounding reports. That's the point.
The average EHCP report takes an experienced OT 2.5 hours to write from scratch. With Scriibe, the same report takes 18 minutes — 10 minutes entering your notes, 8 minutes reviewing the draft.
That's 2 hours and 12 minutes back, per report. If you write 10 reports a month, that's 22 hours saved. Almost three full working days, every single month.
"Writing the report takes longer than the assessment. And I've been doing this fifteen years — I know exactly what I want to say. It's just the time it takes to say it."— Senior Occupational Therapist, independent practice, Hampshire
How it works
You set up your voice profile
Paste three to five anonymised reports from your own practice. Scriibe reads them, identifies your style patterns, and builds a profile that every future report is written against. This takes about ten minutes and you only do it once.
You enter your assessment notes
A simple form — child's details, reason for referral, background, observations, recommendations. No special format required. Write the way you'd write a handover note to a colleague. Bullet points, fragments, shorthand — it all works.
Scriibe writes the draft
In under a minute you get a full EHCP-structured report — Reason for Referral through to Summary — written in your voice, in plain English, with the child referred to by name throughout. Not a template. A draft you'd be comfortable putting your name on.
You review, adjust, and export
Read it through. Change anything that needs changing — which, once the system knows your style, tends to be less than you'd expect. One click exports a properly formatted Word document with your name and practice details. Done.
Compliance
Most OTs using AI tools don't realise they're taking on a compliance risk. When you type a child's name, age, and clinical observations into ChatGPT, Copilot, Gemini, etc, that data goes to a server with no data processing agreement in place. No guarantee of where it's stored, how long it's kept, or whether it could be used to train future models. Under GDPR, patient data is special category data — the highest protection level that exists. Using an unvetted third-party tool to process it isn't a grey area. It's a breach.
The ICO has been clear: any tool that handles special category data needs a formal Data Processing Agreement, documented compliance, and a clear record of how data flows. Most consumer AI products provide none of this.
Scriibe is built differently — not as an afterthought, but as the foundation.
You get the same time saving. You get it legally. And you get something you could defend in writing if you ever had to.
Clarity
Not a template
Templates produce generic reports that sound like every other report — families can tell, SENCOs can tell, and local authority reviewers certainly can. Scriibe produces a draft based on your specific notes, in your specific voice, for this specific child.
Not a chatbot
You don't prompt it or have a conversation with it. You fill in your notes and a report comes back. That's the whole interaction.
Not a replacement for your clinical judgement
Scriibe writes what you tell it. The observations, the findings, the recommendations — those are yours. It turns them into a document. The clinical expertise is still entirely yours.
Not trained on anyone else's data
Your voice profile is built from your own reports and used only for your reports. It never influences another OT's outputs. It never leaves your account.
Who this is for
If you're an NHS OT working within a trust's IT infrastructure, Scriibe probably isn't the right fit yet — those procurement processes take time we haven't built for. We're starting with independent practitioners.
Questions
Will it sound AI-generated?
Only if you give it nothing to work with. The richer your notes, the more specific and personal the output. OTs who paste detailed observations get reports that are genuinely difficult to distinguish from their own writing — because the style is trained on their own writing.
What if the draft isn't right?
You edit it. The goal isn't a perfect report — it's a 90% draft that takes 5 minutes to finish rather than 2.5 hours to start. Most OTs find they're changing less and less the more they use it, as the system gets to know their preferences.
Can I use it for private and NHS-referred children?
Yes. The report is yours to use however you'd normally use a report you wrote yourself. Scriibe just writes the draft.
What happens to my data?
Nothing is stored after your report generates. Your voice profile — the style guide built from your past reports — is saved securely in your account and is never shared with other users or used to train any AI model. The notes you enter for each report are processed and then gone.
Do I need to be technical to use it?
No. If you can fill in a form and click a button, you can use Scriibe. Setup takes about ten minutes. There is nothing to install.
What if I want to cancel?
Email us. Done. No retention flow, no "are you sure," no cancellation fee. We delete your account and your data within 24 hours.
Is the founding member price really locked forever?
Yes. If you join during the founding member period, you pay £29 a month for as long as you use Scriibe — regardless of what we charge new customers in future. That's a genuine commitment, not a marketing line. We'll put it in writing when you sign up.
The offer
Join the waitlist and get full access for your first month, completely free. No card required to start. At the end of your first month, if you want to carry on, you pay £29 a month — locked in forever as a founding member, regardless of what we charge new customers in future.
If at any point in your first month you decide it's not for you, email us and we'll delete your account. Nothing to cancel. Nothing to chase. The only thing you're risking is the ten minutes it takes to set up.
Locked in forever · No card required to start
No spam. No card. Built by an OT's family, for OTs.
If you've read this far, you've done your due diligence — which, frankly, is exactly what we'd expect from an OT.
Scriibe isn't trying to reinvent your practice. It's a well-built tool that does one thing: gets the report written so you don't have to spend your evening on it. That's it.
Any questions, we answer emails personally.
